Privacy Policy
Last updated: 22 May 2026
This Privacy Policy explains how THEGAMEISON LIMITED ("GameOn", "we", "us" or "our") collects, uses, shares and protects your personal data when you use the GameOn mobile applications and our website at thegameison.uk (together, the "Services").
We are the data controller of your personal data for the purposes of the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
THEGAMEISON LIMITED is a private limited company registered in England and Wales (company number 17138051), with its registered office at 66 Paul Street, London, England, EC2A 4NA. You can contact us about privacy matters at support@thegameison.uk.
1. Who this policy applies to
The Services are used by two main groups of people, and we collect different data for each:
- Players — people who use the GameOn app to find and book sports facilities (football, cricket, padel, tennis, badminton, basketball and more).
- Venue partners and their staff — people who use the GameOn management app to list venues and facilities, manage bookings and receive payouts.
This policy also covers visitors to our website. Where a section applies only to a particular group, we say so.
2. The personal data we collect
Information you provide to us
- Account data — your name, email address and the role assigned to your account.
- Authentication data — we sign you in using one-time codes sent to your email. We do not store these codes after they expire.
- Booking data (players) — the facilities you book, dates, times and your booking history.
- Venue data (venue partners) — details about your venues and facilities, such as name, location, sport types, pricing, opening hours, photos and maintenance schedules.
- Images — profile, venue or facility photos that you choose to upload.
- Communications — the content of messages you send us, for example support requests.
Payment information
Payments are processed by Stripe. When you pay for a booking, your card details are collected and processed directly by Stripe — we do not receive or store your full card number. We retain a record of the transaction (such as amount, date, status and a payment reference). Venue partners who receive payouts provide their identity and bank/payout details directly to Stripe to comply with payment and anti-money-laundering rules.
Location data
With your permission, the app may access your device location to show facilities near you and to help venue partners set a venue's location on a map. You can grant or revoke this permission at any time in your device settings. If you decline, you can still use the Services by searching manually.
Information collected automatically
- Device and usage data — basic technical information such as device type, operating system, app version, and log data needed to operate and secure the Services.
- IP address — collected by our infrastructure providers as part of delivering and protecting the Services.
We do not currently use third-party advertising, analytics or tracking SDKs in our apps, and we do not track you across other apps or websites.
3. How and why we use your data
Under UK GDPR we must have a lawful basis for using your personal data. Our uses and bases are:
| Purpose | Lawful basis |
|---|---|
| Create and manage your account; provide the booking and venue-management features | Performance of a contract |
| Process payments and pay out venue partners | Performance of a contract; legal obligation |
| Show nearby facilities using your location | Consent (device permission) |
| Keep the Services secure, prevent fraud and abuse, and fix problems | Legitimate interests |
| Respond to your support requests | Legitimate interests; performance of a contract |
| Keep financial and transaction records | Legal obligation |
| Send service-related messages (e.g. booking confirmations) | Performance of a contract |
Where we rely on consent, you can withdraw it at any time. Where we rely on legitimate interests, you have the right to object (see Your rights below).
4. Who we share your data with
We do not sell your personal data. We share it only as follows:
- Venue partners and players — when you make a booking, relevant details are shared between the player and the venue partner so the booking can be fulfilled (for example, the player's name and booking details are visible to the venue).
- Service providers (processors) who help us run the Services, including:
- Supabase — database, authentication and file storage hosting.
- Stripe — payment processing and venue payouts.
- Apple and Google — app distribution and, where you enable it, related platform services.
- Cloud hosting and infrastructure providers that host our website and back-end.
- Authorities and advisers — where required by law, to comply with legal obligations, or to establish, exercise or defend legal claims.
- Business transfers — if we are involved in a merger, acquisition or sale of assets, your data may be transferred subject to this policy.
5. International data transfers
Some of our service providers process data outside the United Kingdom. Where we transfer personal data abroad, we rely on appropriate safeguards recognised under UK data protection law, such as the UK International Data Transfer Agreement (IDTA), the UK Addendum to the EU Standard Contractual Clauses, or transfers to countries with UK adequacy regulations.
6. How long we keep your data
We keep your personal data only as long as necessary for the purposes set out above. In general:
- Account and profile data is kept while your account is active.
- Transaction and financial records are kept for as long as required by tax and accounting law (generally up to six years).
- When you ask us to delete your account, we delete or anonymise your data except where we must retain it to meet a legal obligation or to resolve disputes.
7. Your rights
Under UK GDPR you have the right to:
- access a copy of the personal data we hold about you;
- have inaccurate data corrected;
- have your data erased ("right to be forgotten") in certain circumstances;
- restrict or object to how we process your data;
- data portability — receive your data in a portable format;
- withdraw consent where we rely on it; and
- not be subject to solely automated decisions with legal or similarly significant effects.
To exercise any of these rights, email us at support@thegameison.uk. We will respond within one month. You can also delete your account from within the app.
If you are unhappy with how we handle your data, you have the right to complain to the UK Information Commissioner's Office (ICO) at ico.org.uk or by calling 0303 123 1113. We'd appreciate the chance to address your concerns first.
8. How we protect your data
We use appropriate technical and organisational measures to protect your data, including encryption in transit, restricted access controls, and storing authentication sessions in your device's secure storage. No system is completely secure, but we work to protect your data and to notify you and the ICO of any breach where the law requires.
9. Children
The Services are not directed at children under 16, and we do not knowingly collect personal data from children under 16 without parental involvement. If you believe a child has provided us with personal data, please contact us and we will take appropriate steps to delete it.
10. Cookies and similar technologies
Our website uses only the cookies and local storage strictly necessary to function. We do not use advertising or third-party tracking cookies. Our mobile apps use your device's local and secure storage to keep you signed in and to remember your preferences — this is not used for tracking.
11. Third-party links and services
The Services may link to or rely on third-party services (such as map providers, Stripe, and the app stores). Those services have their own privacy policies, and we are not responsible for their practices. We encourage you to review them.
12. Changes to this policy
We may update this policy from time to time. When we make material changes, we will update the "Last updated" date above and, where appropriate, notify you in the app. Your continued use of the Services after an update means you accept the revised policy.
